We have an exciting opportunity to join our Customer Service South Team as a Rostering Administration Support Clerk. The role is open to being based between London Liverpool Street, Shenfield, and home based. This role is temporary and expected to last for 12 months.

The Role

The key focus of this role is to provide administrative support to the rosters team and the Senior Support Managers within the area of responsibility, to assist with the issue and distribution of orders/equipment, sorting and organising logistics, and to ensure all rosters are compliant with Terms and Conditions and Guidelines on excessive hours and fatigue management.

Working alongside two existing Rostering Administration Colleagues, this role will join an experienced team to support and enhance the rostering and admin operation across the South route.

Key accountabilities

  • Production and posting of rosters within stipulated timescales
  • Prompt and efficient alterations to rosters necessitated by sickness, leave etc. 
  • Clear all exceptions in rostering system every week, to ensure that by an agreed time, the previous week’s exceptions have been completely cleared
  • Maintain accurate records and produce weekly reports on number, type of exceptions cleared etc
  • Note taking at Disciplinary and other Hearings and meetings
  • Assist with issue and distribution of orders/equipment
  • Provide roster support coverage during periods of annual leave, plus supporting with general rostering tasks during day to day operation of the route.
  • Support a variety of tasks such as eBis ordering, reporting compiling, administration of company vehicle processes and urgent medical bookings, etc
  • Support the Local Management Teams, Head of Customer Service South, and Senior Support Manager with general administration duties.  

What we are looking for

The ideal candidate should:

  • Have experience in an administrative role
  • Have very good Word, Excel, PowerPoint skills
  • Demonstrate organisational skills and ability to prioritise and manage time effectively, in order to meet demanding deadlines
  • Have note taking experience
  • Have high standards of personal presentation and professionalism
  • Demonstrate high standards of written and oral communication
  • Demonstrate a proactive approach to problem solving
  • Have valid driving license
  • Experience with rostering large teams of colleagues on computer-based programs (desirable)
  • Experience in an administration role (desirable)
  • Be familiar with basic GDPR regulations and working (desirable)
