ADMINISTRATION SUPPORT

LOCATION: INVERNESS ENGINEERING DEPOT

THE ROLE: This role reports to the Team Leader and will assist in the provision of an efficient and professional Administration Support Service to the Fleet Engineers organisation.

Key Accountabilities:

Input of all payroll, holidays and sickness for all Engineering staff based at Inverness.

Administration of IRMA, the rostering system.

Management of annual leave.

Maintain Absence Monitoring, Weekly Sickness and Return to Work interviews.

Liaise with HR admin on arrangements for staff medicals, OHCS and staff medication queries.

Reporting defects to Facilities.

Maintain, update and distribute daily Traction and Rolling stock ‘sander records’ on behalf of ISFE.

Take minutes at meetings, including discipline, grievance and absence monitoring interview and maintain records as necessary.

Maintain and update staff safety and competence files.

Word processing, photocopying and filling as required.

Assist staff with general queries.

THE PERSON:  Experience in office work/administration desirable. Ability to work as part of a team or on their own initiative. Knowledge of ITrent, IRMA and Web Gemini.  Good organisation and communication skills essential.

ADDITIONAL INFORMATION: Post covers 35 hours per week. Reference Salary will be £24,118 per annum. The training salary will be £21,984 per annum.

Selection process: Selected candidates will be invited to attend an interview. The final stage for successful candidates will be a medical questionnaire. Appointees must submit at least two satisfactory references, Disclosure Scotland clearance and complete a six month probation period. Training initially involves a two day Induction training programme including first aid and fire safety.
