An exciting new opportunity has arisen for a PA to the Director of ARR located in the ARR Head Office in Glasgow. Reporting to the Director of ARR and Event Connect, the successful candidate will support and assist the Director and the ARR/Event Connect Teams in the UK by carrying out a range of administrative and office duties.

Duties include:

  • Provide support to the Director with diary and meeting management, and travel and accommodation arrangements.
  • Collation of information and production of monthly reports and Board Report.
  • Provide administrative support and assistance to the ARR and Event Connect Teams throughout the UK.
  • Raise purchase orders and collate Directors’ expenses in accordance with finance guidelines.
  • Arrange all aspects of the quarterly ARR/Event Team Meeting, attend, take minutes and follow up actions arising from meeting.
  • Take concise minutes at other meetings as required as agreed by Director.
  • Organising travel arrangements for ARR/Event Connect Teams.
  • Maintain accurate information for organisation charts and other ARR/Event Connect records.
  • Carry out ARR general office management duties such as ordering stationery and photocopier supplies.
  • Respond to Directors’ correspondence in a timely manner.
  • Be responsible for own health and safety and others in the work environment at all times.
  • Undertake any other duties commensurate with the needs of the role.

All candidates must:

  • Have previous PA experience (essential).
  • Be highly organised with excellent attention to detail;
  • Have administration experience;
  • Have experience supporting at Director level and able to maintain confidentiality.
  • Have strong IT skills, particularly Outlook, Word, PowerPoint  and Excel;
  • Have excellent communications skills, including written and verbal;
  • Be able to work accurately and efficiently when under pressure, ensuring deadlines are met;
  • Be comfortable working as a part of a team and equally on own initiative;
  • Have a flexible approach and be prepared to work outside normal hours to meet deadlines.
